Position Overview
The Intellectual Property (IP) Specialist is responsible for managing data, conducting audits, and handling the processing and docketing of communications related to patents and trademarks. This includes reviewing, downloading, scanning, and coding documents in accordance with established procedures. The role also supports projects involving the transfer of client records and files.
Key Responsibilities
– Proficient in Adobe Acrobat, Microsoft Word, and Excel
– Review, process, and docket incoming and outgoing patent and trademark communications
– Use digital records management systems to maintain accurate and current data
– Assist the IP team with data audits in systems such as Digital File, PATTSYWAVE, and PracticeLink
– Support the transfer of client files and documents
– Help set up and maintain IP client portals
– Generate docket reports and data extracts as needed
– Contribute to software implementation projects with a focus on data accuracy
– Respond to internal requests and inquiries
– Maintain consistent and reliable attendance
– Perform additional duties as assigned

Qualifications
Education:
Bachelor’s degree or equivalent experience required
Experience:
General office experience is necessary; experience in a law firm or IP environment is a plus
Skills:
– Strong attention to detail
– Excellent communication and interpersonal skills for interaction with attorneys and staff
– Proficiency in relevant software and office equipment
– Professional demeanor and ability to manage tasks under pressure
– Adaptability to changing responsibilities
– Team-oriented with strong collaboration skills
– Problem-solving mindset with the ability to escalate issues when needed

Work Environment:
Primarily office-based or remote work. Occasional extended hours may be required.
Compensation
This is a non-exempt position. Pay varies by location and experience. Estimated hourly and annual ranges:
– Pittsburgh & Houston: $27.50–$33.65/hour | $57,200–$70,000/year
– Philadelphia: $29.50–$40.50/hour | $61,200–$84,500/year
– Washington, DC: $31.50–$43.25/hour | $65,200–$90,000/year
