Summary of Position:
We are looking for a highly organized and proactive EMEA Operations Coordinator to support our EMEA leadership team and manage the day-to-day operations of our new regional headquarters in Zug. This is a unique opportunity to join an innovative biotech company during a pivotal phase of growth and expansion across Europe.
Position Responsibilities
Office Management:
– Lead and manage the setup of the EMEA headquarters, coordinating with vendors, contractors, and internal teams.
– Oversee daily office operations, including vendor management, utilities, invoicing, and landlord communications.
– Create and maintain scalable office systems and procedures.
– Manage office supplies, equipment, and inventory.
– Ensure compliance with health, safety, and regulatory requirements.
– Collaborate with IT and Facilities to optimize infrastructure and workspaces.
– Organize team-building events, offsite meetings, and executive visits.
Support for Leadership Team:
– Provide high-level administrative support to the EMEA leadership team.
– Coordinate administrative tasks across EMEA offices.
– Manage calendars, schedule meetings, and arrange complex travel across Europe and the U.S.
– Draft and edit correspondence, presentations, and reports.
– Handle sensitive information with discretion and professionalism.
– Assist in planning regional events and large-scale meetings, including congresses and HCP events.
Travel Coordination:
– Arrange international and domestic travel for EMEA leadership, including flights, accommodations, ground transport, and itineraries.
– Organize EMEA meetings such as business reviews.
– Ensure travel arrangements align with company policies and budget.
– Work with travel agencies and vendors to secure the best options.
Budget Tracking & Administration:
– Manage office and travel budgets, ensuring cost efficiency and compliance with financial policies.
– Process expense reports and invoices in collaboration with the Finance team.
– Support procurement efforts and maintain accurate expenditure records.
Candidate Requirements:
– 3–5 years of experience in office management and executive support, preferably in biotech, pharma, or life sciences.
– Proven track record in office build-out or relocation projects.
– Strong organizational and multitasking abilities with great attention to detail.
– Proficiency in Microsoft Office (especially Excel, Outlook, PowerPoint); experience with travel and expense tools is a plus.
– Experience in setting up office operations from the ground up is highly desirable.
– Excellent interpersonal and communication skills.
– Swiss residency required.
– Independent, proactive problem-solver with strong written and verbal communication skills in both German and English.
