MTR, PO & Logistics Coordinator (Full-Time)

We are seeking a highly organized and detail-focused individual to oversee Mill Test Reports (MTRs), confirm Purchase Orders, and help maintain alignment on our Logistics Board. This role is crucial in connecting our shipping and sales operations, ensuring accuracy and efficiency across three key systems: the Tracking Board, and the Purchase and Sales Order Expedite Screens.

You will support the Sales Team by managing vendor confirmations, scanning field documents, and ensuring that all MTRs are correctly attached before shipments go out. Your work will allow the Sales Team to focus on selling, while you handle the logistics and documentation behind the scenes.

You’ll be responsible for confirming all Purchase Orders submitted by our team, eliminating the need for Sales to track them. You’ll be the behind-the-scenes support keeping sales, purchasing, and MTRs in order.

Mill Test Reports
You’ll ensure seamless integration between our MTRs, ERP system, and our MTR management partner, Smartcert. Your job is to make sure each MTR is correctly linked to its corresponding Lot/Heat number. The Shipping Team will provide you with accurate Heat Numbers, and you’ll ensure a digital PDF of each MTR is attached in the system so it prints with the Packing List at shipment.

Purchase Orders
You’ll be notified of every PO issued and will follow up with vendors to confirm the order and obtain MTRs. This is vital to our STC process. You’ll also work closely with our Drivers, using our Scan Function to collect documents during pickups. We’ll train you, but you’ll be a key point of contact in this process.

Logistics Board
You’ll ensure that orders are progressing in line with the Shipping Team’s delivery schedule. Your main task is to keep the Purchase Order and Sales Order Expedite Screens aligned with the Logistics Board.

Future Opportunity
Once you master this role remotely, we’d like to transition you into a Sales Order support position, eventually training your replacement. In this future role, you’ll assist with quotes and sales orders, with the potential to earn commissions based on performance and sales conversions.

Key Responsibilities

– Manage integration and assignment of MTRs to correct Lot/Heat numbers in ERP and Smartcert
– Ensure all outgoing orders have MTRs digitally attached to packing lists
– Confirm receipt of PO acknowledgments and MTRs from vendors
– Use Scan Function to collect documents from field drivers and vendors
– Monitor Logistics Board and ensure it matches Sales and PO Expedite Screens
– Communicate with Shipping and Sales teams to resolve discrepancies
– Maintain vendor communication and support STC process compliance
– Ensure accurate documentation for all shipments

Qualifications

– Experience with ERP systems (required)
– Advanced Excel skills
– Strong communication and coordination abilities
– Reliable, detail-oriented, and organized
– Comfortable using scanning apps and uploading PDFs
– Experience with logistics, shipping, or technical documentation (preferred)
– High-speed internet and availability during Pacific Time business hours
– Willingness to learn and become the go-to person for MTR, PO, and logistics tracking

Preferred

– ERP experience
– Familiarity with MTRs, heat numbers, and document auditing
– Background in logistics coordination
– Experience in the industrial supply chain or metals industry

Hours: 40 hours/week
